Privacy Policy
Effective date: 11 July 2026
In plain English
- We collect what we need to run your account and study tools — your name, email, institution, and the academic data you enter (grades, plans, timetables).
- We don't sell your data, and we don't share your CGPA or grades with your school, employers, or recruiters.
- Your data is only visible to you, people in chambers/classes you join, and admins — never the open web.
- If you apply for a role, the employer sees your application and CV. Nothing about you reaches an employer unless you apply.
- We keep your CV on file so you need not re-upload it, and you can remove it whenever you like.
- If you confirm where a firm is, that address helps other people find verified lawyers.
- You can access, correct, or delete your data any time by emailing privacy@chamberos.io.
- The full detail is below.
This Privacy Policy explains how ChamberOS ("ChamberOS", "we", "us") collects, uses, stores, and shares information when you use the ChamberOS app and related services (the "Service"). By creating an account, you agree to the practices described here.
1. Who We Are
ChamberOS is operated by Fola Adeyeye, based in Manchester, UK, and built for law students in Nigeria. For questions about this policy or your data, contact us at privacy@chamberos.io.
2. Information We Collect
2.1 Account information
Name, email address, institution, level/year of study, and password (stored in hashed form).
2.2 Academic data
Course grades, GPA/CGPA inputs and calculations, study plans, deadlines, and exam schedules that you enter into the CGPA Tracker and Study Planner.
2.3 Chambers data
Chamber membership, roles, activity feed posts, and announcements you create or that are created about you within a chamber you join.
2.4 Communications
Messages, files, and metadata (timestamps, participants) sent through Group Chat.
2.5 Usage and device data
Log data, device type, IP address, app version, and analytics events (e.g. feature usage) collected automatically.
2.6 Job applications and CVs
If you apply for a role, we collect the application you send and any CV you attach. We keep a copy of your CV on file so you do not have to upload it again for each role, and so we can put your name forward if we introduce students to employers in future. You can remove that copy at any time from your applications screen. Removing it does not withdraw a CV already sent with an application, because that copy is with the employer; withdrawing the application removes that one.
2.7 Places you confirm
If you confirm or correct where an employer is located, we record the coordinates you give, any note you add, and that you were one of the people who confirmed it. Confirmed addresses are used to help people find verified lawyers near them, including through related services we operate. Your name is not shown alongside an address.
2.8 Reviews you write
Reviews of an employer are shown with your university and year of study, never your name. The employer cannot see who wrote a review. Only you and a ChamberOS super admin can connect a review to your account, and the latter only so that abuse can be acted upon.
3. How We Use Information
- To provide core features: CGPA calculation, study planning, chamber management, and messaging.
- To maintain account security and prevent abuse or fraud.
- To communicate service updates, and, if you opt in, product news.
- To improve the Service, including through aggregated, de-identified analytics.
- To comply with legal obligations.
We do not use your academic data to make decisions about you outside the Service (e.g. we do not report your CGPA to your institution or to employers).
4. Sharing of Information
We do not sell personal data. We share information only in the following circumstances:
- With other members of a chamber or class group you join, limited to the information that feature is designed to show (e.g. your name and role in a chamber roster, or messages you post in a group chat).
- With service providers who host our infrastructure or provide analytics, under contracts that restrict their use of your data to providing the service to us.
- If required by law, court order, or to protect the rights, safety, or property of ChamberOS, our users, or the public.
- In connection with a merger, acquisition, or sale of assets, with notice to you where required by law.
When you apply for a role, the employer sees the application you sent, the CV you attached, and your name, faculty and year of study. That happens because you applied and never otherwise: employers cannot browse students, and no employer is shown your CV unless you send it to them.
We still do not share your CGPA, academic records, or chamber activity with employers, recruiters, or your institution. Employer addresses that students confirm may be used by related services we operate to help the public find verified lawyers; that data covers businesses, not students, and identifies no student who contributed. If anything else changes, we will update this policy and seek your consent before such sharing begins.
5. Legal Basis and Cross-Border Transfers
For users in Nigeria, we process personal data in accordance with the Nigeria Data Protection Act, 2023 (NDPA) and applicable regulations of the Nigeria Data Protection Commission. Our legal bases include your consent, performance of our contract with you (providing the Service), and our legitimate interest in operating and securing the Service.
Because ChamberOS is operated from the United Kingdom, your data may be transferred to and processed in the UK. Where required, we rely on appropriate safeguards (such as standard contractual clauses) for such transfers.
6. Data Retention
We retain your account and academic data for as long as your account is active. If you delete your account, we will delete or anonymise your personal data within 30 days, except where we are required to retain it for legal, security, or dispute-resolution purposes.
Your CV stays on file until you remove it. Applications you have sent, and the CV copy attached to them, are kept while the employer is considering them and are removed if you withdraw the application.
7. Your Rights
Subject to applicable law, you have the right to:
- Access the personal data we hold about you.
- Correct inaccurate or incomplete data.
- Request deletion of your data or account.
- Request a portable copy of your data.
- Withdraw consent for optional processing (e.g. marketing communications) at any time.
- Object to or restrict certain processing.
To exercise these rights, email privacy@chamberos.io. We will respond within the timeframe required by applicable law.
8. Data Security
We use encryption in transit, access controls, and industry-standard safeguards to protect your data. No system is completely secure, and we encourage you to use a strong, unique password.
9. Children's Privacy
The Service is intended for users aged 16 and above. If we learn we have collected personal data from a child under 16 without appropriate consent, we will delete it.
10. Cookies and Analytics
We use cookies and similar technologies (including third-party analytics tools) to understand how the Service is used and to improve it. You can control cookies through your device or browser settings.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes via the app or email, and continued use of the Service after such notice constitutes acceptance of the updated policy.
