The Class Rep Handbook: Timetables, Cohort Links, and Advancing Your Class

Your three rep responsibilities on ChamberOS, and exactly how to carry out each one from the app.

Being a class rep on ChamberOS comes with real tools. You look after your class timetable, you carry the link that brings your classmates onboard, and you move your class up a year when the session rolls over. Here is each job and exactly how to do it.

How you become a class rep

Class reps are appointed by a faculty admin. On the web admin console, an admin finds your account and appoints you to a faculty and year. You do not apply inside the app. Once you are appointed, your rep tools show up on their own in the mobile app, and a Class Rep badge appears next to your name in class chat.

Everything below happens in the mobile app, where you look after your cohort day to day.

Job 1: Your class timetable

You look after the timetable that every student in your year sees in their Planner. That matters, because when you keep it right, the whole class stays organised.

Adding lectures

  1. Open the Class Timetable screen.
  2. You will see a Class Rep badge and an add form that only you can see.
  3. Add each lecture with its day, time, course, venue, and lecturer.

As soon as you save a lecture, it shows up for everyone in your year, in their Planner and in the Today's Lectures strip.

Removing a lecture

Press and hold a lecture, then confirm to remove it. Keep the timetable current when venues or times change, since your classmates rely on it.

Job 2: Getting your class onboard

This is how you bring your whole class onto ChamberOS. A faculty admin gives you a cohort link that is set to your exact faculty and year. You do not make it, you share it and keep an eye on it. Anyone who taps it lands in the app already set up for your class.

The short version:

  • When your admin has made your link, a card appears at the top of your Class Timetable screen, with the link and a live count of how many classmates have joined.
  • Tap Share to send it into your class group with a ready written message.
  • Watch the counter climb as your class arrives.

If you do not see a card, your admin has not made your link yet. Ask them to create one for your cohort.

Job 3: Moving your class up a year

When the session ends and your class moves up, you move the whole cohort in one step.

  1. On the Class Timetable screen, use the Advance Class button for your year.
  2. Confirm. Every student in your class moves up together, and you carry on as their rep for the new year.

A few things to know:

  • Classes move from the top year down, so the year above yours must be moved first if it is still full. The app tells you if it needs to happen in order.
  • Moving up is a class action, not something one student does. That is exactly why a student's year is locked on their own profile. If a classmate has the wrong year, they should tell you rather than change it themselves, and you or the faculty admin can put it right.

What happens if you step down

If you are removed as a class rep, your tools end cleanly. The add form and the advance button disappear, and any cohort link you carry for that year is switched off on its own, so it can no longer be shared. If you rep more than one class, only the affected class's link is switched off, and the others stay live.

A rep's weekly rhythm

  1. Keep the timetable right as the week's classes settle.
  2. Drop your cohort link in the class group whenever a new classmate needs to join.
  3. At the end of the session, move the class up.
