For Class Reps: How to Onboard Your Class

A practical playbook for getting your whole class onto ChamberOS with your cohort link, from sharing it to chasing the last few.

As a class rep, one of your most useful jobs is getting your whole class onto ChamberOS. There is a simple tool for it: your cohort link. This guide is a practical playbook for using it well, from getting the link to chasing the last few classmates who have not joined.

How the cohort link works

Your cohort link is a single link that is tied to your exact faculty and year. When a classmate taps it, they land in ChamberOS already set up for your class, with their university, faculty, and year filled in. No forms, no waiting for approval, no chance of landing in the wrong year.

You do not create the link yourself. A faculty admin makes it for you and pins it to your cohort. Your job is to share it and keep an eye on it.

Step 1: Get your link

If you do not have a link yet, ask your faculty admin to create a cohort link for your faculty and year. Once they do, it appears as a card at the top of your Class Timetable screen in the app. The card shows the link and a live counter of how many classmates have joined.

If you cannot see the card, the link has not been made yet. A quick message to your admin sorts it out.

Step 2: Share it where your class already is

The best place to share the link is wherever your class already talks, usually your class WhatsApp group. Tap Share on the card and ChamberOS opens your share sheet with a short ready written message. Drop it in the group.

A few tips for a good first share:

  • Pin the message in the group if you can, so late joiners can find it.
  • Add one line of your own about why it helps, for example that the class timetable now lives there.
  • Share it again after a day or two for the people who missed it the first time.

Step 3: Watch the counter

The card shows a live count, for example 24 of 120 joined. It updates as classmates arrive, so you can see your class coming in. Open the Class Timetable screen now and then to check progress.

The counter is also a safety net. Because the link has a limit, an unusual jump is easy to spot, so you and your admin can tell if it has been shared too widely.

Step 4: Chase the stragglers

There are always a few who have not joined. Once most of the class is in, send a friendly reminder to the group, and ask your course group leaders to nudge anyone still missing. A classmate who already uses the app can also send the link directly to a friend.

What if the link fills up or stops working

Your link has a limit and an expiry date. If it fills up or expires while people still need to join, ask your admin to issue a fresh one. The new link works exactly the same way and shows up on your card.

If a classmate tells you the link is not working, it may be old or full. Ask your admin for a new one rather than trying to fix it yourself, since only admins can create or replace cohort links.
